Contrat.io Features: How the Review Workflow Works

Contrat.io is a document review and comment resolution workspace for AEC and EPC teams. This page walks through the product feature by feature — the roles, the review cycle, and what you get at close-out.

Three Roles, Clearly Separated

Every review involves three roles with enforced permissions:

  • Document Controller — uploads the document, initiates the review workflow, and assigns the participants.

  • Author and co-Authors — respond to review comments and issue revised document revisions.

  • Reviewer and co-Reviewers — raise comments, verify resolutions, and are the only ones who can close their own comments.

Co-Author and co-Reviewer roles make multi-discipline reviews native: a lead reviewer invites discipline reviewers, and all their comments land in the same sheet — no consolidation step, no merged spreadsheets. Invited participants join with free Collaborator access; only document owners need a paid plan.

Review Documents Where the Comments Live

  • Document View — reviewers mark an area directly on the document and attach a comment. Each comment gets a unique, permanent ID and a visible anchor box on the page, so every comment is tied to an exact location on an exact revision.

  • CRS View — the same comments as a structured comment resolution sheet: ID, location, comment text, response, status. Document View and CRS View stay in sync; work in whichever fits the task.

A Controlled Comment Lifecycle

  • Freeze — when a reviewer completes their pass, they freeze their comment set. Frozen means committed: the author is notified and responds to a stable set, not a moving target.

  • Respond — authors answer every comment individually, through either view, and issue a new revision where changes are required.

  • Iterate — there is no limit on review iterations. Open comments carry forward automatically; each iteration is recorded.

  • Close — when the reviewer is satisfied, they approve, and the document exits the cycle with every comment resolved. The full lifecycle and status model is described in What Is a Comment Resolution Sheet?

Notifications and Deadlines

Participants are notified when action moves to them — comments frozen, responses issued, revisions uploaded — and deadline reminders chase overdue steps automatically, so the document controller doesn't spend their day sending follow-up emails.

Everything Is on the Record

At any point — and especially at close-out — you can download the original document revision, the marked-up document, and the complete CRS with every comment, response, status change, and timestamp.
